I have been using Expensify for several years. When I was in a corporate environment, it was mainly to track expenses while traveling and aid in submitting an organized report to the corporate systems. Since starting a small business, I have used it to track expenses throughout the year to make taxes easier.

Expensify has been incredibly useful to me for many years. Considering I am using the free version, it's hard to find a better value! If your company does not have a good expense-capturing system, Expensify will save you hours on submitting reports. You can take a picture and toss the paper receipts right at the point of sale without worrying about losing them during your travels. If you have a small business, you can use it to track and organize regular expenses to make billable expenses and end-of-year taxes a whole lot easier.

We used Expensify to track, organize and approve our expenses related to clients and employees, and to create expense reports for clients.
  • The approval flows

  • Account management can be buggy, non-descript error messages are commonplace when trying to make changes or update information.
  • Support is a Teams-like chat interface that is bot-monitored. Takes time to get in touch with live help.
  • In my opinion, Support is deceptive and non-transparent regarding options related to billing.
It was very difficult to cancel service when we switched to an all-in-one accounting solution that included the expense features we needed. I tried to close our account through the settings and received an error message. Connecting with support was a bit of a task, but when I did, they let me know that I couldn't cancel until the annual term was up, understandable. I asked them at that time, specifically, "So, must I wait until the annual term is over to close the account and cancel billing; is there a way I can set it to auto-close when the subscription expires?" They replied that I would need to wait until the term was over to cancel and did not mention any other options.
I tried, when the term was up, 8 months later, to cancel and received the same error message. I connected with support, which again was somewhat of an onerous process. We had some back and fourth and, when the service was able to be cancelled, I received a message that I would be billed for the remainder of the month. This cancellation had already gone on for 2 mos. past the subscription term and I was billed at the full rate over that time as well.
I asked if there was any way I could be reimbursed for time past the subscription end and was told there was not because I should have requested that the service not auto-renew, which is ridiculous because it didn't auto-renew. I had turned off the auto-renew toggle in the account management; that was why it had defaulted to the month-to-month rate while we were troubleshooting the cancellation process.
I mentioned that I had not been told that was an option when I had originally requested the cancellation, even though I had asked specifically if it was possible. They maintained that there would be no reimbursement and the cancellation invoice and well as the two months of charges past the subscription end-date would apply.

  • It would be great if there was a REQUIRED date of purchase AI recognition.
  • It would be helpful if employees could have designated departments/classes so the expenses would automatically code to the correct department.
  • As an admin user adding approvers to new users seems cumbersome and error-ridden. When I try to add approvers to new employees, often times, the field is blacked out or not even an option.
  • It would be great if we could easily deactivate users without going through multiple steps.
  • I would like to be able to delete reports from the inbox that are old/and not correct instead of having to request the submitter to do so.
  • I can hardly see the buttons on the filters in the inbox and the expenses list.
  • It would be nice to be able to filter by approver.
  • I don't like that user names aren't uniform. Why do some users have their email address as their username, and some people have their actual name (First and Last).
Expensify is helpful in that employees can somewhat easily submit their expenses for reimbursement. I have had several situations where employees are confused by the process of setting up their accounts. I would also like to have reimbursement rules that make it easier for employees to consolidate their expenses onto a single report instead of letting people submit reports for single expenses with reckless abandon or just plain misunderstanding of consolidation options.Why do I need a "Magic Code" and Authenticator code to log in now. It isn't working an is adding too much time just to log in. Highly frustrating.

Expensify allows our team to quickly enter expenses on their website. It solves the problem of having to submit expense reports manually or having to save receipts. You can save receipts on your cell phone and send them to Expensify or upload them when you are submitting reports. It's easy to use so it requires little training or setup time.
  • Submitting expenses. It's easy to enter an expense, choose a category, enter the dollar amount and submit it. That's about it.
  • Uploading receipts. You can send receipts to Expensify from your phone, or upload them from your computer.
  • Entering hours worked. It's simple to move from expenses over to timesheets to submit the hours that you've worked.
  • Keeping their political opinions out of it. I shouldn't be emailed and told to vote for a certain candidate like they chose to do before the presidential election. I didn't sign up for Fox News or CNN.
  • Uploading duplicate charges. Duplicate charges are flagged, but sometimes I have multiple expenses for the same dollar amount and the same company. To get around this, I change the cents a bit ($19.99 for one and $20.01 or another).
  • Every once in a while it gets a little buggy when uploading a receipt, and I have to press the back button and start again. This is pretty rare though.
Expensify is perfect for a small team or a small business. It's affordable (I believe there is even a free version) and it is very easy to submit reports and to teach others how to submit reports. For a larger business, a one-stop shop for travel and expenses might be a better option. Larger companies might want more analytics as well, although Expensify does allow you to run reports.

The entire organization is using Expensify. We use it to log any reimbursements we need as well as things the company has decided to cover for us; for example, our phone bills are covered if you're in sales, and Expensify is where I log that information every month.

  • Once you submit your expense, it is not submitted. You have to double back to your "home" and go from there actually to submit the expense.
  • I do wish that as those on the team are approving finances, it would tell you if someone has looked at it. Not just say it's approved.
Expensify is well suited for anything having to do with reimbursements. Anything along the lines of events, conferences, monthly stipends, anything your company says that you can submit a receipt and get a reimbursement for. It's easily tracked in the mobile app or online. You can see the log of what has been paid out in the past, as well as keep track of your finances.

We use Expensify for random business expenses such as Ubering to a meeting, ordering food for the team or client, or pretty much any time we need to use our personal credit cards for something that is related to our job.
  • It helps categorize business expenses really well for our accounting department.
  • The ability to upload a picture as proof or additional information is huge.
  • Sometimes the ability to add a picture to a report is somewhat clumsy.
  • I wish you could submit a report a bit easier.
On our sales team, I'm not sure how we would operate or survive without having Expensify. I do not like the idea of having a corporate credit card so this is a perfect alternative. We're always making little charges on our personal cards and then plugging those into Expensify right away.

We use Expensify as our expense management platform, and I've been very impressed with it. It's intuitive, easy to use, and engaging. It reads your receipts and automatically inputs and categorizes your expenses, and it's really easy to submit your expense reports and get reimbursed. I appreciate that it sends reminder emails when you have a report that you haven't submitted yet.
  • An easy to use interface -- it's really self-explanatory.
  • AI/machine learning -- the system automatically reads your receipts and fills out your expense information, which saves time.
  • Sometimes the tool can take a little bit to read your receipts and input the information. Ideally, it would be a little quicker.
Expensify is really well suited to startups and medium-sized companies I think. The branding and experience is a bit lighter and more playful than previous tools I've used at a Fortune 500 company.

Expensify is being used company-wide and is used to streamline expense reporting and report submission both for internal costs that staff incurs for non-billable charges and for expenses that are incurred by staff that are billable back to clients. By using Expensify we can properly attribute the expenses to clients (billable) or to internal expenses client projects (non-billable).

  • Collects data from bank statements.
  • Multiple-project or client billing and tracking is more work than it should be.
  • Help and support is a bit cloudy and not easy to use.
Expensify is well suited for enforcing travel policies and travel budget guidelines. The process for approval is easy. It's not well suited for SOHO businesses where rules are less restrictive and the need for flexibility is there. In the collection of expenses Expensify excels, but in preparing reports that cross personal reimbursement, business non-billable, and client billable it requires more time and work than it needs to.

Our company doesn't have company credit cards, so any expenses are paid by the employee's personal credit card (although many of us purchase a card we only use for work) and then are reimbursed by the company through Expensify. The whole organization uses it. However, as an organization where a few members travel internationally for work, those traveling members use it pretty consistently and for pretty significant amounts. Expensify addresses the problem of staff getting reimbursed in a quick and efficient way (and doesn't require saving a bunch of physical receipts), and our accountant is satisfied with the legal and financial side of it as well.

  • Some credit cards aren't easily linked.
Expensify is pretty much well suited for any company where staff members need to get reimbursed. However, there is a cost associated with the number of users. So, if your organization doesn't really need the reimbursement feature or it happens infrequently, this isn't really the best fit. I'm using Expensify to comp my expenses every other month or so, so it's been extremely helpful for myself and for our financial team.

Each department and member under that department has access to Expensify, so that we can expense qualified expenses as needed. This includes things like travel, corporate gifts to clients, etc. It addresses the ability to have an easy and unified way to track employee corporate expenses, and manage reimbursement. It's much easier than using spreadsheets.

Very well suited for individuals and tracking corporate expenses. The app and email forwarding feature make submitting receipts while traveling or on the go, a breeze.

I don't know what it's like at the accounting level, like the people actually approving the reports. But for the individual, it's very easy to use.

We use Expensify to streamline the employee reimbursement process and to keep budgets in check. In the past, reimbursements would generally involve filling out paperwork and attaching physical receipts to those reports and then it would take weeks to get all the necessary managers to sign off on it. Expensify not only eliminated all paperwork, but it also gets approvals done quickly.
  • The interface is pretty simple and follows general trends with SaaS applications.
  • Automated workflows get approval requests in front of the necessary people quickly. This also keeps the requested up-to-date on the status of a reimbursement.
  • Understanding the true workflow between uploading a receipt and submitting a report can be a bit confusing.
  • The automated receipt processing doesn't always work. Many requests end up having to be manually entered.
Growing companies (around 300 employees) who end up processing reimbursements several times per day would probably start seeing the ROI of Expensify. Smaller companies or companies that don't deal with a lot of employee reimbursements most likely won't benefit from Expensify. Not sure how well a large enterprise company would benefit from Expensify.

  • Reimbursement for office tools/accessories
  • Reimbursement on travel expenses (meals, hotels, tickets, etc.)
  • Reimbursement for meetings (prospects, partners, clients)
  • Intuitive straight forward interface.
  • Quick and easy to create expenses and send to appropriate managers.
  • Navigating existing reports/adding to it can be a bit confusing at times.
  • Search function could be a bit better.

We use Expensify to track and handle reimbursements for all our employees, across all teams. We also use it for candidate reimbursement when we have candidates travel for on-site interviews. It streamlines the expense process and really cuts down on the time needed to process it all, so people aren't photocopying receipts or filling out spreadsheets.
  • Easy to invite new users.
  • Easy workflow for approvals.
  • Reporting could be more comprehensive, I have a hard time pulling very specific reports when I'm trying to track costs.
It's great for expense management. I have had very few complaints, and even salespeople traveling all over the place find it easy to use. it integrates with our ATS Greenhouse which makes it easier to manage candidate reimbursements as well, and then the candidate has a better experience with us, which is also important.

Expensify allows our team to upload expenses and get reimbursed. It's a website, it doesn't require any downloads and is a quick way to create and submit expense reports. There is also a free version which is all our small company has needed for the past three years.
  • Ease of use: it's easy to learn Expensify, the layout and navigation are easy to follow.
  • Reminders: you can set reminders for yourself to submit reports daily, weekly or monthly.
  • Uploading receipts: you can scan receipts on your phone or take pictures and attach.
  • The site occasionally has a glitch where it thinks a duplicate receipt is being uploaded, and it requires deleting the expense and re-entering. This happens once every 3 or 4 reports.
  • The concierge offers popups with helpful tips. It reminds me a bit of the old paperclip on Microsoft Word. Like that paperclip however, I could see it annoying some users. I haven't found the ability to turn it off.
  • It's a little confusing that expenses can be uploaded and saved onto the site, or instantly uploaded for only the report you're working on. I haven't quite figured out how why I would save the receipts on the site instead of the one-time use that I've been doing.
For a small business the free site is terrific. It offers a full expense reporting function for reps and includes everything that a comparable paid service would. It also offers commenting, where the manager can write comments on the expense report, and the ability to save and print reports.

We use Expensify to manage all of our organization's expense reporting and expense reimbursement. It makes expense reporting a breeze and allows our users to get reimbursed for their expenses in a timely manner. For the accounting department, Expensify has made their job 1000 times easier and for our IT department, we have less problems reported as we do not have to provide support for an on-premise solution.
  • Expensify's mobile application makes on-the-go expense reporting easy. Just scan your receipts from your phone and they are automatically added to your expense report.
  • Users don't have a difficult time creating and submitting expense reports because the process is almost fully automated.
  • Setting up policies and expense report templates is a breeze with the very friendly administration GUI.
  • Expensify integrates with Okta easily for a perfect SSO solution.
  • The web GUI can be a bit misleading at first. However, using it a few times, users figure out where to go. I just wish the menus were a bit easier to navigate.
  • Setting up SSO via Okta did not work the first time we tried it. I had to call in support for assistance, it turned out the instructions we were using from Okta were a bit off, so Expensify had to update a setting on our account to get it to work properly.
  • Customer support was a bit slow to respond to my request for help. I'd like to see a bit faster response time.
Instead of managing expenses via Excel or complicated forms, or even worse, paper, I'd recommend switching to using Expensify to manage all of your company expense reporting needs.

Being used to log and submit all work related expenses either though our desktop computers online or via our company mobile phones. The ease of using the mobile app is extremely useful especially when traveling. Great functionality in terms of capturing digital images for receipts.

  • Clunky messaging tool when expense report needs re-visiting.
  • Not clear why expenses returned.
  • Lack of notifications for returned expenses.
I still it give it a 10 as the ease of lodging expenses is so simple. Well suited for traveling. Also useful to simply scan and take pictures of receipts. One area where it can be fiddly is having to upload multiple documents for one claim - can be come a little confusing.

We use Expensify to track all of our receipts company-wide. It's an easy way to track expenses, track reimbursements, and stay organized from an accounting perspective. It's great to not have to keep track of physical receipts. Just take a picture of it and throw it away. The categories for expenses track along with our QuickBooks categories.
  • SmartScan of receipts is usually pretty accurate.
  • Keeping expenses organized.
  • The mobile app is great.
  • The SmartScan feature sometimes has typos. I don't know enough about the technology to even know if this is something that could be better.
  • The user experience is a little bit clunky when SmartScan doesn't work and you have to do things manually. Not sure a way around this, though.
Overall, Expensify is great. It does what we need it to do and it keeps us organized around receipt and expense reporting. I have friends whose companies use other expense reporting platforms and based on what they have shown me, Expensify is way better. If you are a huge company that needs a big robust expense reporting software, I don't know if Expensify is the way to go. For most people, however, Expensify should be your first option.

We use Expensify for reimbursements to employees. Team members travel a lot, and they often need to submit requests in Expensify for flights, train rides, Uber, meals, and other costs incurred while completing business activities for the firm. We then review and approve these requests and reimburse employees directly. It makes it more flexible for employees to pay for certain services on the job and then getting reimbursed as opposed to finding someone with a company card to pay for it.
  • It is very easy to use, as long as you have a picture of the receipt.
  • Easy and convenient for people to keep track of their receipts compared to keeping physical copies of receipts.
  • It doesn't integrate with our other systems too well.
  • Not much assistance in the beginning with setup and initial training, which could lead to subsequent problems, but overall it wasn't too difficult to navigate.
  • Customer service isn't great - the only option seems to be a website chat and responses take a while.
  • On the admin side, there aren't many options, particularly with the reports you can pull.
Expensify is a useful tool for tracking expenses and reimbursing employees for costs incurred while completing firm business. It has a nice and easy interface on the user side but a bit lacking on the admin side with limited functions, configurations, and reports.

We use Expensify across our whole organization, in our US companies as well as our international companies. We have also connected our corporate credit cards to Expensify so that our users can more easily report their credit card transactions and provide important details and receipts easily. We have also used Expensify with users outside our company. When we host events that we will reimburse travel for, like board member travel or contractor workshop travel, these users can submit their requests for reimbursement through Expensify as easily as our employees can.
  • Expensify has a user-friendly interface. Receipts can be easily uploaded onto the platform through multiple methods. Users can also download the app so, which is particularly useful while they are on travel.
  • Our reps at Expensify have helped build reports that respond to our complicated multi entity needs. I have a report that I export that is in the exact format I need for journal entry template importation. This is a game changer when the monthly credit card transaction list for the journal entry is on average 800 lines!
  • We are able to host employees on the platfomr from many different countries because Expensify allows for multiple policies to be set. Each policy can then be set with needs to that country, like currency and even different categories and departments to charge items to.
  • Since we have our corporate cards connected to Expensify, Expensify builds reports for our employees through the month, adding their charges to the report as they are charged to the card. Expensify imports the amount, merchant and date and the user just needs to fill in a comment, add a receipt and select what the charge needs to be budgeted to. Users can also set up "rules" that automatically code recurring charges so they can "set it and forget it."
  • It is very easy to add user and remove users. This comes in useful in a busy HR department when stake holders are changing all the time.
  • Sometimes Expensify gets confused when receipts are emailed in and then "smart scanned" into the system. The receipt either does not get attached to the appropriate charge or it takes a very long time. I have had many users say they love this feature though and have no problem with it.
  • At the beginning of the month Expensify can be slow. This may be because all of out users want to use it then or a system wide issue.
  • Sometimes the system does not react well when words are typed in to the admin side when creating users. It responds much better when the info needing to be added is just copy/pasted.
Expensify can be great for small and large companies. We have multiple entities and a lot of specific situations that we needed built into our reports which is why we cannot take advantage of the NetSuite integration at this time, but we have worked with our rep to make it work for us by building these custom reports. Expensify is flexible and I think they can find a solution for many different companies' needs.

Expensify was the primary tool used to organize, submit, track and reimburse expenses incurred by the entire organization. Prior to the adoption of Expensify, the organization had a manual, Excel-based system of tracking expenses (the team had to fill out an excel spreadsheet, copy and attach all of their receipts, then email the entire file to someone on the finance team). Expensify was adopted by the entire organization (including a team of over 50+ independent contractors that incurred an average of $10,000 each month in reimbursable expenses) and simplified the process tremendously.
  • Expensify is very easy to pick up and use. We had people at all different levels of technological expertise, but almost everyone picked it up very quickly.
  • The customer service team at Expensify is very helpful and knowledgeable. They were very easy to access, and helped us during the entire implementation phase.
  • Expensify works well with modern technology, and is very convenient. Most things can be done from the Expensify app, which is very helpful for an organization with a lot of travelers.
  • We adopted Expensify when it was relatively new, so at the time, there were glitches occasionally in the software. This did improve as time went on, though.
  • Our organization struggled with its limited customization options. Our organization was very unique, so there were a lot of areas where we wished we could have changed the functionality to fit our needs a bit better.
Overall, I would definitely recommend Expensify, espeically for small to medium organizations, and especially for organizations with members who travel a lot or are always on-the-go. Larger or less standard organizations may struggle with its limited customization options. The functionality continuously improved during my time using the software. All of the organizations' users believed the website to be easy to pick up and use. Customer service is top-notch.

Expensify is easy and I was able to use it extensively on business trips, and while attending trade shows and startup conferences. I'm able to run reports and submit accurate numbers for approvals with receipts and such. It's mainly being used on an individual level, each person uses their own expense reporting system but some prefer Expensify due to the ease of use and cross-platform access. This helped us as an organization since a big portion of folks travel globally so a good app like Expensify is very handy in keeping track of expenses whether personal or for business. It also helps keep my budget in check.
  • Its excellent for helping you keep track of personal and business expenses all in the same application.
  • Cross-Platform support. I can work on a report on my iPhone then continue editing on my computer.
  • Great features like taking immediate pictures of receipts, ability to pull info from credit cards to easily import accurate data regardless of which card you use.
  • Creating reports is as easy as ever especially to send over for easy management approval all through the app. Can even export to store locally on your machine.
  • I'd like to see some integration with hotel and flight reservation tools like what we currently use with Concur.
  • Salesforce integration
  • Upgraded and modern UI
  • Multi-factor authentication leveraging SSO and TouchID perhaps to verify user for security purposes especially for business
Expensify is easiest to use once you prepare for it prior to traveling or using it since it requires some setup to enter credit card info and getting used to storing in the cloud as some folks might or might not be too keen on storing in the cloud. But the best part is the fact you can access your data from everywhere.
